Content Guidelines & Reporting Content
1. Purpose
Vizado provides a closed, invite-only workspace environment. Content (documents, notes, messages, client records, and uploaded files) is accessible only by the Agency that uploads it and, where specifically granted, by that Agency’s clients through the Client Portal. These guidelines govern what content may be stored, shared, or transmitted through the Platform.
2. Permitted Content
- Immigration and visa case files, applications, and related government forms
- Client identification documents (passports, birth certificates, etc.) uploaded with appropriate client consent
- Signed retainer agreements, engagement letters, and fee agreements
- Internal case notes, staff communications, and workflow documents
- Client-facing status updates, checklists, and appointment confirmations
- Travel itineraries, booking confirmations, and insurance documents
- Template documents provided by the Agency for client use
3. Prohibited Content
The following content is strictly prohibited on the Platform and will result in immediate account suspension and may be reported to law enforcement:
- Child sexual abuse material (CSAM) or any sexually explicit material involving minors
- Forged, altered, or fraudulent government documents, identification, or application forms
- Content that facilitates ghost consulting or misrepresentation to government authorities
- Content that constitutes hate speech, threats, or harassment against individuals or groups
- Malware, ransomware, viruses, or other malicious code
- Content that violates a third party’s intellectual property rights
- Content used to facilitate human trafficking or exploitation
- Personal information uploaded without the data subject’s knowledge or consent
- Content that facilitates money laundering, fraud, or other financial crimes
4. Document Accuracy
Agencies bear sole responsibility for the accuracy and authenticity of all documents handled through the Platform. Vizado provides tools to facilitate document storage and sharing — it does not verify document authenticity and makes no representation about the accuracy of any document uploaded by an Agency or its clients.
Uploading a document through Vizado does not constitute verification, certification, or endorsement of its contents by Vizado.
5. Client Portal Content
Agencies that activate the Client Portal and grant client access to their workspace are responsible for all content made visible to clients. Agencies must ensure that:
- Only appropriate and accurate information is shared with each client
- Confidential information belonging to other clients is never exposed
- Clients receive clear guidance on how to use the portal and what content they may upload
6. Reporting Violations
If you believe content on the Platform violates these guidelines, applicable law, or poses a risk to individuals, please report it immediately to:
Content violations: info.ca@app.vizado.io
Urgent / illegal content: info.ca@app.vizado.io
Please include: the type of content, the approximate location in the Platform (if accessible), and why you believe it violates these guidelines. Vizado will acknowledge reports within 2 business days and take appropriate action, which may include content removal, account suspension, and referral to law enforcement.
7. Consequences of Violations
- Minor violations: warning issued and content removed with notice to the Agency
- Serious violations: immediate suspension of the Agency workspace pending review
- Illegal content: immediate permanent account termination and mandatory reporting to relevant authorities
- Repeated violations: permanent ban from the Platform
Vizado reserves the right to determine, at its sole discretion, whether content violates these guidelines. Decisions are final. Appeals may be submitted to legal@app.vizado.io.
8. Agency Liability
Agencies are fully liable for any content uploaded to or transmitted through their workspace and agree to indemnify Vizado against any claim, penalty, fine, or legal cost arising from Agency content that violates applicable law or these guidelines. Vizado’s right to remove content and suspend accounts does not create any liability or obligation to do so, and does not constitute Vizado’s assumption of editorial control over Agency content.
